Importing listings

Listings kept in your agency software or in a spreadsheet come over to the portal in a single file, with nothing to retype. Each one lands in your drafts, and importing the same file again updates the listings instead of duplicating them.

CSV spreadsheet

Save the spreadsheet in CSV format: the first row holds the column headings, and every row after it holds one listing. When uploading, you point out which column holds each piece of information: listing number, transaction type, property type, price, area, address, description, photo addresses and more. Only the first three are required.

The portal recognises the transaction type and the property type from everyday words such as “sale” or “apartment”, in any of the portal’s languages.

A file may be up to 2 MB and up to two thousand listings; split a longer list into several files.

Package from your agency software

Agency software saves listings together with their photos in a package prepared for property portals. Upload that ZIP package, or just the file with the listings, in the second part of the import screen; the portal recognises its format on its own.

The portal accepts the following formats:

  • Otodom XML — an export offered by most Polish agency software.
  • oferty.net XML.
  • Kyero XML — popular in Spain and Portugal.
  • OpenImmo — the standard in Germany, Austria and Switzerland.
  • Rightmove BLM — the standard in the United Kingdom; the number of rooms and the energy rating are completed in the draft.

A package may be up to 500 MB. Its photos reach the listings within a quarter of an hour or so, and once the last photo is in, the portal deletes the package.

Drafts and importing again

Every listing from the file lands in “Drafts”. The portal finds the address on the map by itself; when the address is missing or cannot be found, the listing waits in drafts to be completed.

A listing is recognised by its number in the file. Importing again updates the listings already brought over and leaves untouched those in which nothing has changed. A published listing stays on the portal unless, after the change, something is missing — it then returns to drafts, and the report says so. Listings in the archive are skipped by the import until they are restored on the portal.

A listing takes up to 15 photos and 3 floor plans; the report names the listings whose file contained more.

Publishing ready listings

The “Publish ready listings” button next to an import in the history publishes, in one go, all of its drafts that have nothing missing. The rest wait in drafts to be completed, and listings whose photos are still being processed can be published a few minutes later.

Premium listings are published one at a time, with the cost confirmed, just as when adding them by hand.

Sync with your agency software

Instead of uploading a package each time, you can paste the address of a listings file that your agency software keeps up to date. The portal checks the file every hour and brings over everything that has changed in it.

Listings that lack nothing are published by the portal on its own; the rest wait in drafts. When the file contains all of the agency's listings, a listing that disappears from it goes to the archive, and when it comes back, it returns to the portal.

Listings are managed in the agency software: one taken down only on the portal comes back with the next change in the software. Should more than half of the listings suddenly be missing from the file, the portal archives nothing and lets you know. In a team, sync is set up by someone with the “Sync with agency software” permission — by default the owner and the administrator; the permission can be added to any role.

Report and limits

Bars at the top of the screen show the progress of an import under way and of its photos as they arrive, and when it finishes while the screen is open, its summary, with the time it took, appears in the same place. The history on the import screen shows recent imports, each marked with its source — a CSV file, a package from agency software or synchronisation: how many listings arrived, how many were updated, how many stayed unchanged and how many were skipped — with the listing number and the reason for each one that needs correcting in the file. The portal keeps history entries for a year after the import ends. The “Show listings” button next to an import lists the listings it added or changed, with a link to each one.

When an import finishes, a notification arrives in the bell along with an email summary; both can be switched off in your notification settings. Rather than an email after every run, sync sends a summary once a day, and it lets you know straight away when the file cannot be fetched.

Importing belongs to plans with unlimited listings and to teams with an active plan; in a team, anyone allowed to edit the team’s listings can import. A new team listing has “Organisation details visible” switched on from the start once the company details are complete. Ten imports can be started within an hour.
